What is the importance of the project scope?


According to the textbook, the project scope is, “The work that needs to be accomplished to create the project deliverables.” It is one of the first steps in managing a project, and it is also one of the most important because it involves the project requirements and boundaries. Based on the lessen for this week, the scope defines the boundaries of the project, the estimated time it will take to complete the project, and the budget. It helps to prevent misunderstanding and misinterpretations of what the project outcome will be and when the outcome will be accomplished. The project scopes helps the the project manager to look at the requirement of the project to know what is needed to get the project accomplished, and also the contraints of the project so that they can be prepared to address these constraints early on to avoid any problems later on in the life cycle of the project. Every decision that the project manager will make is based off the project scope. It helps everyone involved in the project to stay on task and avoid problems. Making a list of all the requirements and boundaries of a project helps the project manager to stay on budget, and on schedule, and prevent project failure.

Some common problems that can be voided by outlining a scope are:

It can include following points

1) Project Scope ie what is within the scope & what is out of scope of the project.It defines the boundaries of the project, the estimated time it will take to complete the project, and the budget.

2) Business Objective: Outline your business objectives by defining the targets your business hopes to achieve with this project. This can include product launch goal dates, a new business model to generate a higher rate of recurring revenue, higher customer satisfaction, increase first-time buyers and others.

3)Legal Compliance : Outline the laws & other regulations of the country that are applicable to the project & needed to be complied with.For instance for setting up industry environmental laws of the country have to be complied with like setting up pollution control equipment otherwise fines & penalties maybe imposed by the regulators.

4) Constraints & Assumption : Outline the constraints that are faced or can crop up in futureby the project like financial, resources , risk etc.

5) Project Exculsion: Outline clearlythe items which are not included in the project because stakeholders may think some out of scope items in project scope. For instance an auditor is only responsible for checking accuracy of books of accounts & not for preparing books of accounts.

6)Stakeholder review and approval is the final section of a project scope statement. In contract oriented organizations, formal stakeholder sign off may be required before proceeding to the next step in the project. In less structured organizations, mutual verbal agreement during a project scope review is sufficient. Regardless of the methodology, obtaining agreement is an important step as it formalizes the entire scope of the project.
