Is active listening is important for Business Communication?

1. Introduction: Active listening is a part of formal business communication and if is one of the most effective communication skills and everyone should have this soft skill.

Active listening is the ability to listen carefully with full commitment and sound mind what other person is trying to say. It is a skill of paying special attention to what the other party is saying and engage with another person effectively.

2. Active listening in Business Communication: Active listening is a part of formal business communication and everyone who is part of any kind of business communication should have this skill. It is a good technique to gain the trust and attention of the other party and is very important in successful business deals. Active listening also affects the relationship with clients and other businesses.

3. Characteristics of active listening: Becoming an active listener should be a priority for any employee or business leader to gain more success at what they are doing right now. There are so many benefits of active listening in business which we will discuss in the next head, here we will discuss what are the main characteristics of active listeners. There are verbal and non-verbal characteristics of active listeners which are as per below,

Non-Verbal Characteristics:

a: Paying attention on what is being said by another person.

b. Developing eye contact with another person.

c. Formal physical posture to show that you are engaged in conversation with them.

d.Be patient when others are speaking, wait for your turn to speak.

Verbal Characteristics:

a. Asking questions about their requirement or any feedback.

b. Remember what others are saying which will help in better understanding their requirements and you can deliver 100% from your side.

c. Summarizing and advising at the end of the conversation will show your active listening characteristics.

4. Benefits of Active listening in Business Communication:

There are so many ways active listening will be helpful in business communication, some of them are as below:

a. Better understanding clients requirements: Active listening is important in business communication as it enables to acquire fact and figures which other party is trying to say and will be effective for any cross question regarding clients requirement and product details. Listening actively will let you understand the requirements of the client and you will be in the right position to solve your queries by asking questions. For example, if you have listened carefully and fully aware of client requirements, you can deliver the best product or service which the client is looking for and this will improve your future business and relationship with the client.

b. Improve trust: Active listening will be helpful in gaining the trust of another person, as that person understand that you are making full attention of what he is trying to say and he can explain properly his facts and requirement if you are listening to him carefully. It is the best way to building relationships within an organization or with other businesses.

c. Better relationship at work: Active listening would be very helpful if you are at leadership or supervisory position. It will be helpful in understanding the issues and conflicts with your team and you can give a better solution if you have listened carefully about what is the issues all about. If you are not aware of the issues properly then it will be difficult for you to provide the best solution to your team.

d. Building connections: Active listening is important in building better business connections. Business clients or any person prefer sharing more information with an active listener. They would like to communicate with you on a regular basis if they have the opinion for you that you are paying attention to what they are saying. This creates more future opportunities for you or your business. The best example of this is cofounder of any startup, they listen to each other actively and understand each other capabilities and come together to start a business.

e. Gaining more knowledge: You will be successful in any business if you know 100% about your business or you are trying to gain more knowledge about the industry and your business. If you know everything about your business you can explain more about your products or services to your clients and this will get you more business. Active listening is more important in gaining knowledge about your products, industry or business. You can grow your knowledge and retain that information for future business deals.

Active listening will enable us to listen carefully and help us in understanding property what other person is trying to say. This will help us in remembering their requirements, suggestions, and feedback. Active listening will help us in building a better relationship and collecting more information from another party. Active listening will be helpful in business success.

6. Suggestions: To improve active listening, one should practice it in his regular business conversation. Below are some suggestions which could be helpful in improving active listening,

a. Paying attention to what others are saying will be a great tool to improve active listening. In this way, the other person feels more comfortable in sharing more information.  

b. Time management: One has to manage his time when he is listening to others. When you have enough time, you will be more active in the conversation.

c. Ask questions: Improve the habit of asking questions. If you have a habit of asking more questions, you will be active in the conversation and this will also improve your active listening.

d. Be aware of your products or business: If you know enough about your product, you would help another person in a business discussion. They will be more comfortable in explaining their requirements and you can suggest other offers or products to them.
