1. RFP is the request for proposal from companies or contractors that wish to come into agreement with the organization for a particular task or project. The process of an RFP includes:

-Creating a team which will be responsible for the RFP and draft and review it.

- making a timeline for every phase in the development of RFP is required so that the process of making and reviewing an RFP completes within a time frame.

- The RFP is drafted by the person assigned for it following the appropriate structure approved by the organization. It will include the introduction, background information, details of the project, requirements from the proposal, selection criteria and timelines.

- Distributing the RFP to the potential vendors for responding to it with a quotation.

- Reviewing the responses received from the vendors and evaluating and comparing each response based on the criteria mentioned in the RFP.

- Selecting a vendor which meets the maximum criteria and negotiating with him on terms that require changes as per your requirements.

- forming the contract and signing it to develop the contractual agreement with the vendor and initiate the project.

The most crucial step in the process is drafting the RFP because this step involves the complications of designing and drafting the RFP in such a way that all its obligations and requirements are included. The RFP should be such that gives the vendors a clear picture of the organization and the project. The quotation is based on the RFP and the whole contractual agreement between the parties depend on the quotation provided by the vendor. Hence a small error in the drafting stage can make the whole process go wrong.
