Company need controls over cash distursements. Since a company spends most of its cash by check, many of the internal controls for cash distursements deal with checks and authorization for cash payments.
Following are some basic control procedures for cash disturements:
1. Depsosit each day's cash receipts intact in the bank as soon as possible, preferably on the day they are received. Undeposited cash is more susceptible to misappropriation.
2. Prepare a record of all cash receipts as soon as cash is received. Record all the cash transaction in the cash book immediately by the responsible cashier. Most thefts of cash occur before a record is made of the receipt. Once a record is made, it is easier of trace a theft.
3. Arrange the duties of the employee who handles cash receipts to make proper records in the acoounting.
4. Arrange duties so that the employee who receives the cash does not disburse the cash.
5. Make all distursements by check. Obtain proper approval for all disbursements and create a permanent record of each disbursement. Clerks should have refund tickets approved by a supervisor before refunding and payment in cash.
6. Prepare bank reconciliation each month, so that errors and shortages can be discovered quickly.
