Scenario:  Our customers have been complaining about the quality of the systems work we’ve been doing for them for the past few years.  In particular, they don’t like our poor on-time performance on projects.  In exit interviews, several of our employees who left the organization have commented on how hard it is to work here because they are never sure of what they should be doing, or how they should be interacting with others on their program teams.

Your management team has come to you with the above problem scenario that they need you to advise them on and plan a strategy to address. Write and submit a memo to your manager that describes something in your Standards Framework that you believe will address the problem.  Your memo should offer a general description of how your chosen Framework component(s) address the problem as described.  It should then describe the long-term prospects for what it will mean to implement the component(s) in the organization, as well as a short-term description of how you’ll move toward implementation in the first three to six months.

This memo is to your management, not to other engineers.  It needs to be brief and concise, and yet contain appropriate technical details to properly explain your position and planning. The best management memos fit on a single page. Don’t re-explain the problem to them.  Don’t go into deep detail that they don’t need to know. Stay focused on how implementing your plan will solve the problem.

RE : Implementation of Standards Framework guidelines

Problem or Issue :

Taking into consideration the present scenario which evidently shows the quality issues on the projects delivered faced by customers because of "on time performance" which apparently has also been reported to be an underlying cause of employee turnover, thus it has been decided to announce a new policy on project performance which shall entail the guidelines mentioned in the Standards Framework below ;

Addressing the problem :

As per the guidelines mentioned in Standards Framework for project performance,,,, the project shall be planned in advance through:

Planning and demonstrating the processes, methods and procedures to be implemented for project in advance to employees so as to ensure that employees are aware about what techniques and methods they have to implement and thus practise it prior to delivery for improving their current performance.

Improving the communication skills is the another factor for which the guidelines regarding effective interpersonal skills shall be provided to employees.

The coordination and level of understanding among team members for working in a collaborative manner on the projects will also be ensured to enhance the performance to meet the needs of customers for satisfying them.

Recommendations: (For first three to six months)

Project objectives and goals should be clarified every month without leaving any scope of ambiguity.

Project performance should be improved through making employees follow the above guidelines throughout the period.

Customer feedback should be duly conducted every month for the period of six month to make any improvements for addressing grievances.

Hope that the standards framework will be followed by employees as it compliance is expected to solve the major issues associated with poor " on time " performance of projects.
