According to the Project Management Institute (PMI)® A Guide to the Project Management Body of Knowledge (PMBOK® Guide), Fifth Edition, 2013, "planning the project communications is important to the ultimate success of any project. Inadequate communications planning may lead to problems such as delay in message delivery, communication of information to the wrong audience, or insufficient communication to stakeholders" (p. 290). In considering the importance of stakeholder engagement and communication, describe three activities or actions you would implement to assure stakeholders that the project is managed within scope and schedule.
Well.. we will firstly see the planning the Project communication and the importance of project communication:
Excellent communication is extremely critical to any project's success. It js important to have exchange of ideas, information, feelings and seeking regular feedback with all the stakeholders and the concerned parties.
It is critical to have a communication strategy from the very beginning of a project. The following questions should be considered: Does communication facilitate the achievement of goals and objectives? Who is the target audience of the communication and information transfer? Which communication channels should be used?
We will see how it helps:
1. Helps in identifying area of improvements
2. Helps in keeping everyone updated about the progress
3. It is used as a reminder to concerned people
4. Changes are communicated effectively
5. It helps in oder to bring the stakeholders on the same page
6. It is helpful in sharing ideas and seeking feedback
7. It helps is getting regular updates about the processes and activities being performed
considering the importance of stakeholder engagement and communication, below are three activities or actions I would implement to assure stakeholders that the project is managed within scope and schedule :
1). Devlop communication strategies:
- Will Determine the preferred method of communication. It can be email, excel reports, call.
- Will create a communication schedule such as weekly emails, calls, monthly recurring meeting etc.
2) Perform risk analysis:
Identifying critical tasks or steps are very essential because if it fails , it can lead to delays or greater damage
Analyzing each stakeholder’s impact on project objectives is closely tied to both their expectations and their level of influence/interest.
Need to plan the conflict resolution also
3). Excute plans and see the progress of project and the success evaluation:
Need to engage stakeholders, take inputs from all the concerned parties and work on those inputs.
Gain feedback and work on those feedback wherever required. Need to make sure that stakeholders are happy and we are getting positive feedback.
