Describe (in detail) an example of unproductive business meeting you have attended. What should have been done prior to the meeting to increase productivity? As an attendee, what could you have done during the meeting to increase productivity?

I attended a meeting with my team member where they present the monthly report with me on the progress of the work. Unfortunately, this meeting turned out to be an unproductive meeting due to multiple reasons like non-preparedness of the facts and figures by the employees and non-availability of a remote employee over video conferencing.

To increase productivity, as a manager, I should have done the following prior to the meeting

  • Ask the team member to come with handly facts and figures
  • Ask them to make a power point presentation
  • Ask the remotely located employee to attend the meeting via video conference

During the meeting, I could have quickly ask everybody to do the following:

  • As numbers and data are not present, I would have taken this opportunity to brief the team on team bonding
  • I would have taken this as a team unity meeting
  • I would have to ask the team the importance of the meeting
  • I would have utilized this gathering for other reason and team building activities
