Importance of office policies and procedures

A principle of behaviour or conduct, thought to be desirable or necessary for the smooth running of an organisation, formally expressed by a Government or authoritative body.

A procedure is the way or system, by which a policy will be administered

Office hours : A company's policies and procedures must state the office hours for employees. Along with that timings poicy, working days and information regarding overtime should be there. According to state's prescribed laws, company should formulate working hours. It will help the employees to plan everything, to maintain punctuality and consistency in work.

Scheduling and cancelling the appointments

Scheduling appointments are very impoortant. It will add convenience to clients and better services to them by the company. It is applying theory of time management. Proper scheduling and cancelling the appointments can maintain clent' s flow to office and avoids non productive time. It helps to save money , time and materials.

Telephone calls

Answering telephone calls promptly is one of the crucial part as it gives a picture about the organisation to the patient. There is no difference between the person who comes directly to office and who call to office .Response to a telephone call should be in professional and courteous manner. An office should have a telephone policy. Assigned person's should be there to attend the calls. In some instances if the person is not available any staff , who is near to the telephone can attend it preferably within two rings.

It is important to give an awareness about the office location correctly to the employees so that they will be clear about it and they will be able to answer clearly to those who ask them directly or through the telephone line.
